AI Usage Policy

Last Updated: 4 July 2026

North OS is an AI-powered platform. This AI Usage Policy explains how our artificial intelligence features work, their limitations, and your responsibilities when using them. It forms part of our Terms of Service. These disclosures reflect UK ICO AI guidance and emerging AI transparency expectations in the UK, EU and US.

1. AI May Be Incorrect

AI-generated content ("AI Outputs") — including summaries, drafts, recommendations, analyses, and automations — is produced by statistical models. AI Outputs may be inaccurate, incomplete, outdated, biased or entirely fabricated ("hallucinations"), even when presented confidently.

2. Human Review Is Required

  • Every AI Output requires independent human review before you act on it.
  • You make all final decisions. North's AI is an assistant, not a decision-maker.
  • You are responsible for verifying facts, figures, names, dates and calculations in AI Outputs before use.

3. No Professional Advice

AI Outputs do not constitute and must not be relied upon as:

  • Legal advice — consult a qualified solicitor or attorney
  • Accounting, tax or financial advice — consult a qualified accountant or adviser
  • Medical advice — consult a qualified healthcare professional
  • HR or employment decisions — AI Outputs must not be used as the sole basis for hiring, firing, promotion, discipline or any employment decision. Such decisions require meaningful human judgement and compliance with employment and anti-discrimination law.

4. Prohibited High-Risk Uses

You must not use North's AI features as the sole basis for decisions producing legal or similarly significant effects on individuals, including decisions about employment, credit, lending, insurance, housing, education or access to essential services.

5. Confidence and Capability Limitations

  • AI models do not "know" facts — they predict likely text. Confident tone does not indicate accuracy.
  • AI Outputs may reflect biases present in training data.
  • Models have knowledge cut-offs and may not reflect current events, prices or laws.
  • Long or complex tasks increase the likelihood of errors.

6. Human Oversight in the Platform

  • AI-driven automations are configurable and can be reviewed, paused or disabled by you.
  • AI-generated drafts (emails, invoices, documents) are presented for your review before sending or finalising.
  • We design AI features to keep a human in the loop for consequential actions.

7. Transparency

  • Features powered by AI are identified in the product.
  • AI conversations and prompts are processed as described in our Privacy Policy.
  • We do not use your Customer Content to train generally available models without your consent, and we restrict model providers from doing so where controls are available.

8. Feedback and Improvement

We collect optional feedback on AI Outputs (e.g. ratings, reports of inaccurate responses) to improve quality and safety. Feedback is processed in accordance with our Privacy Policy. We regularly evaluate and update models, prompts and safeguards as part of our AI improvement process — see our Responsible AI Policy.

9. Reporting Problems

If an AI feature produces harmful, biased or seriously inaccurate output, please report it through the North website contact form so we can investigate.

10. Liability

Your use of AI features is subject to the AI disclaimers, warranty disclaimers and limitations of liability in our Terms of Service. North is not responsible for business decisions made in reliance on AI Outputs.
